Signing up as a school administrator

When you pick School Administrator on the signup role landing, your account is created as a teacher but flagged for verification. The platform-admin surfaces (whole-school plan review, HoD audits, the supervisor side rail) don't open until we confirm you actually run the school — too easy to abuse otherwise.

This article walks through what you see while verification is pending and what unlocks after.

What you see right after signup

You land on School profile (/school), not the teacher home. A yellow "Verification pending" banner sits at the top:

Your school admin access is waiting on us. You signed up as a school administrator for [your school]. We need to confirm you actually run the school before opening up the supervisor surfaces.

The banner has a single CTA: Email hello@keybaki.com. The mailto opens your default mail app with the subject and body pre-filled. You only need to fill in:

• Your role (Principal / Deputy / DOS / HOD / other)
• Best phone to verify on (defaults to your signup number)
• Anything else useful (link to your school website, a referral, etc.)

You can use the rest of the app — read your school's profile, browse the library, attach a child — but the school-wide supervisor surfaces stay locked.

How verification works

A platform admin reads your email, confirms you with the school (we usually call the published main line, or ask a colleague we already know there), and grants you a school supervisor row in the system. Most requests resolve same day.

When the grant lands:

• The "Verification pending" banner disappears from /school/profile.
• The School nav entry starts opening /school/plans instead of /school/profile — that's the read-only supervisor surface for your whole school's plans.
• Your role chips on the School profile page now show what you were granted (e.g. Principal, DOS, HOD: Mathematics).

You don't need to sign out and back in — the next page load picks up the new grant.

What unlocks at each tier

Different supervisor kinds open different scopes:

• Principal / Deputy / DOS — school-wide. Read every teacher's plans, see every CEA, view onboarding lead.
• HOD — scoped to one subject. Read every plan tagged with that subject's strand.
• Class teacher — scoped to one class stream. Read every plan delivered to that stream.

The chip on your School profile shows which scope you hold. Multiple chips mean multiple grants stack.

Common issues

• Banner won't go away even after admin granted me. Pull-to-refresh on mobile, or hit reload. The session re-checks supervisor grants on each page load.
• I emailed days ago and no reply. Forward the original to hello@keybaki.com with URGENT — verification in the subject. Verification is manual today; we sometimes miss a thread.
• Wrong role on my chip. Email us with the right kind. Admin can revoke + re-grant in a few clicks.
• I'm not actually a school administrator yet. Sign in as a regular teacher instead. You can still attach to the school via claiming a school and access classroom + plans.
