Changing a user's scope
For admins· 2 min read
A teacher's JSS/SSS level or a student's grade. Drives content filtering across library + CEAs.
Scope governs what content a user sees:
- Teacher — JSS (Grades 7–9) or SSS (Grades 10–12).
- Student — Grade 7 through Grade 12.
- Parent — no scope. Scoping happens per active child.
- Admin — no scope.
Admins can override a user's scope from their detail panel.
When to change scope
- A teacher promoted from JSS to SSS or vice versa.
- A student's grade was set wrong at sign-up.
- A child rolled into the next grade and the auto-rollover missed them.
Steps
- Admin → Users → open the user.
- Edit the grade or teacher-level inline in the Learning Scope section — two selects, saved directly.
- Pick the new value:
- Teacher: JSS / SSS / (none — for parents, admin).
- Student: pick from Grade 7 – Grade 12.
- Confirm.
What changes
- The relevant column (
teacher_levelorgrade) updates. - Library + CEA picker re-scope on the user's next page load.
- Existing plans / CEAs / bookmarks aren't moved — only future filtering is affected.
- Audit entry logs before/after.
Side effects
- Teacher scope change — the teacher's previously-created plans for the old level stay visible. The library + new plan wizard re-scope.
- Student scope change — the student's existing CEA history is preserved. Weak-strand derivation continues, but the picker only shows new-grade content.
Annual rollover
In addition to manual scope changes, an annual rollover job — triggered on the academic calendar's configured rollover date — rolls every student up one grade. Grade 12 students roll to "alumni" and lose access to the picker (their data is preserved). Admins can run this manually from Admin → Operations during testing.
Common issues
- Student lost access after rollover. Likely they rolled past Grade 12 to alumni status. Change scope back to Grade 12 manually if it was a misclassification.
- Teacher's level change broke their plan list. Plan list scopes by current
teacher_level. Old-level plans hide. Either revert the scope, or the teacher can change their own level back via Profile.
