Managing your school
What a school contact can do from /school/manage — class streams, rooms, supervisor roles, and the requests you send to the Keybaki admin team.
If your school has named you a contact (principal, deputy, ICT lead, and so on), the Manage tab on your school page (/school/manage) is where you keep the school's structure up to date. It groups into three sections: school structure (streams + rooms), people & access (confirming new teachers and students, supervisor roles), and requests you submit to the Keybaki admin team.
Before you can make changes
Your contact role has to be verified first. Until a Keybaki admin confirms you, the forms load but every save returns "pending verification" — ask your admin to confirm your contact role, then come back.
Class streams
Streams are the parallel classes inside a grade — "Grade 8 Blue", "Grade 9 Honesty".
- Add a stream — pick the grade (or type a custom one like PP1), give it a label, and choose a kind: Home (form-tutor group), Subject set (ability-streamed), or Elective (option group). Cohort year is optional.
- Archive / Restore — archiving hides a stream from pickers. If students are still attached, you'll be warned and they'll need moving to another stream first.
You can't assign class teachers from here — that stays with the Keybaki admin on the stream detail panel.
Rooms
The room catalog is what teachers pick from when booking a timetable block.
- Add a room — name + kind (classroom, lab, library, hall…), with optional building and capacity. The Shareable toggle is the important one: shareable rooms (labs, halls, libraries) can be booked by any teacher; leave it off for a home classroom and optionally pin it to one stream so only that class books it.
- Archive / Restore — archived rooms drop out of the picker. Existing timetable bookings keep the room name; only new bookings are blocked.
Confirming teachers & students
When a teacher picks your school, or a parent attaches their child to it, they start pending — invisible to teacher rosters and messaging until you confirm them. Two cards under People & access show who's waiting:
- Pending teachers — each row shows the teacher's name and phone. Confirm lets them see students, invite parents, and message staff; Decline detaches them and sends them back to pick a school again.
- Pending students — each row shows the student's name, grade, and the parent's name and phone. Confirm makes the student visible to their teachers and recognizes the parent as a member of your school; Decline detaches the child so the parent can re-pick.
Only confirm people you recognize as actually belonging to your school — keeping strangers out is the whole point of the queue. If you're unsure, leave them pending and check.
A Keybaki admin can work the same queue from Admin → Verify schools, which covers schools that don't have a verified contact yet.
Supervisor roles
Granting a supervisor role lets a teacher see other teachers' plans, so it's gated carefully.
- Grant — pick a teacher, choose a kind (Principal, Deputy, Director of Studies, Head of Department, Class teacher), and optionally scope it to subjects or streams.
- Revoke — one tap; recently-revoked grants stay visible for short-term audit.
You can't grant a role to yourself, and every grant and revoke is written to the audit log.
Requests to the admin team
Two things you submit rather than do directly:
- Flag a teacher — "this person isn't teaching here". Pick the teacher and add a reason; admin reviews.
- Propose a metadata correction — describe what's wrong with the school's details in plain language; admin applies or dismisses it.
Both appear in Your signals, the history list at the bottom, so you can see what you've sent and its status.
Common issues
- "Pending verification." Your contact role isn't confirmed yet — ask your school admin.
- "A stream/room with that name already exists." Labels and room names are unique per school. If it's archived, restore that one instead of adding a duplicate.
- Can't see the Manage tab at all. You're attached to the school but not listed as a contact.
/school/profileshows your current roles; ask your admin to add you as a contact.
