How you get matched to students
Why some students appear in your roster, confirmation queue, and recommend picker — and others don't. Pairing is school + level + subject.
Keybaki doesn't ask you to build a class list by hand. Instead it works out which learners you're responsible for from three things you've already set: your school, your level, and the subjects you teach. We call that pairing.
The three conditions
A student pairs with you when all three hold:
- Same school — the learner's current school matches yours.
- Same level — your teaching level and the learner's grade fall in the same tier (junior vs senior school). A junior-school teacher never pairs with a Grade 11 learner, even in the same school.
- A shared subject — at least one of your declared subjects is also one of the learner's subjects.
A learner's subject list isn't just their grade. For senior school it's built from their pathway and selectives; for junior school it includes their chosen language and religious education option. So two Grade 10 learners in the same class can pair with different teachers.
Set your level and subjects on your profile — see Your teaching subjects. If those are blank, nothing pairs.
Where pairing shows up
- Your roster — My classroom lists learners at your school, with grade and name filters plus a "streams I teach" toggle.
- Confirming pending students — your confirmation queue is deliberately narrower than the school-wide one a school contact sees: it's only the subject-and-grade slice you're responsible for.
- Recommending library items — the recipient picker is filtered by pairing, and additionally by the item's subject. You can only recommend a Maths item to a learner who takes Maths, and only if you teach Maths.
Class streams
If a class stream has subject teachers assigned, that assignment decides which of several otherwise-eligible teachers owns that class-and-subject pairing. Where no stream assignment exists, pairing falls back to the school + level + subject rules above.
Two things that block pairing entirely
- Your membership isn't verified yet. A self-onboarded teacher is held pending until a verified contact or admin confirms them. Until then the roster stays hidden — student names are personal data. See Getting confirmed at your school.
- The learner isn't verified yet. Pending learners don't appear in rosters or recommend pickers; they show only in your confirmation queue.
Common issues
- A student I teach isn't in my picker. Check, in order: are they verified; is their grade in your level's tier; do your declared subjects overlap theirs. A senior learner whose pathway doesn't include your subject won't pair.
- My roster is empty. Either your school isn't set, your membership is still pending, or no learners at your school are verified yet.
- A colleague sees a class I don't. They're likely the assigned subject teacher on that stream.
