Install Keybaki + use it offline

For public· 4 min read

How to install Keybaki on your phone or laptop, what works when the network drops, and what the sync icons mean.

Keybaki works in any browser, but installing it as an app gives you faster launches, a full-screen layout, and a home-screen shortcut. Previously loaded app screens may open offline, but protected lessons — including bookmarks — need an internet connection to check your current access.

Installing saves the site you are using now. If you are on the demo site, the installed shortcut stays on the demo; it does not sign you into the main app.

Install on your phone

Android (Chrome / Edge / Samsung Internet): open this Keybaki site, use it for a minute or two, then tap the "Add Keybaki to home screen" bar at the bottom. Or open the browser menu → Install app.

iPhone / iPad: open this Keybaki site in Safari or a browser offering Add to Home Screen, tap the Share button, scroll down and tap Add to Home Screen.

Laptop (Chrome / Edge): open this Keybaki site, click the install icon in the address bar (a small computer + arrow), then Install.

What works without internet

After you've used Keybaki online, some previously loaded screens may remain available if the browser has kept them cached:

  • The app itself — navigation, side menu, settings
  • Schools registry — school searches you already ran resolve offline for about an hour; new queries need a connection
  • Help articles you've already opened

To see what's saved on your device: Settings → Privacy → Offline library. It distinguishes protected lessons requiring online access from cached media and offers a clear-cache button. Cached media alone does not make a lesson available offline.

What needs network

  • Protected library lessons, including bookmarked lessons — current access must be checked online. Bookmarks save references, not offline downloads
  • Signing in — OTP codes need the network
  • The very first visit — the app needs to install while online
  • Creating a brand-new plan — only editing existing plans works offline
  • M-Pesa top-ups, push notifications, and admin actions

When your school enables offline editing

Some Keybaki installs turn on offline editing for plans and CEAs. If yours has, you'll see:

  • A "Saved locally — will sync when online" toast when you save a plan without network
  • A small cloud icon with a number in the top bar showing how many edits are waiting to sync

When you reconnect, edits sync automatically and the cloud icon clears once the queue drains.

If you don't see those, your school's Keybaki admin hasn't enabled it yet — ask them.

If someone else edited the same plan

When you save a plan offline and a co-teacher edits it from another device, both edits can't both win. Keybaki detects this when your edit tries to sync and shows a red bar at the top:

1 edit needs your attention.

Tap Review. You'll see your version (blue label) and theirs (emerald) side-by-side. Pick Keep mine (your version wins) or Keep theirs (your offline edit is dropped). The choice is permanent — there's no field-by-field merge yet.

This is rare in practice — typically only matters when two teachers share responsibility for a class.

Updating to a new version

When Keybaki ships an update, a blue strip appears at the top: "New version available. Reload to get the latest improvements." Tap Reload when you have a free moment. You don't have to do anything else — no app store, no manual download.

Managing storage

Protected lesson bodies are not stored for offline reading. Some library media may be cached; this does not bypass the lesson's online access check. To see your usage or clear library caches: Settings → Privacy → Offline library.

Signing out also clears the offline cache — so handing your phone to someone else on a shared school laptop doesn't leak the previous user's bookmarks.

Troubleshooting

"I bookmarked a lesson but it will not open offline." This is expected: reconnect so Keybaki can check your current access. Installing the app or saving a bookmark does not download protected lessons for offline use.

"My streak hasn't updated after my child took a CEA offline." The streak catches up after the attempt syncs. Pull-to-refresh, or close and reopen the family screen.

"The app feels stale." Close it completely, reopen. The service worker fetches any pending update on the next visit.
